Run a one-off export from a filtered view

Export your data to CSV, JSON, or Excel — either the entire dataset or just what's on screen.

Need a snapshot of your data right now? For a client, a spreadsheet to dig into, or a quick one-time pull, use the Start Export flow. You get a file in your browser within seconds or minutes, depending on how much data you're pulling.

Before you begin

Running an export requires the Export Data permission. If the Export button isn't visible in the top bar, ask an admin to grant it.

How to run an export

  1. Click Export in the top bar. The Exports sheet slides out from the right.

  2. On the Start Export tab, choose a format: CSV, JSON, or Excel.

  3. Decide which fields to include:

    • All Fields — every standard and custom field.

    • Current View — only the columns currently visible in the grid.

    • Choose Fields — pick exactly the fields you want and drag them into the order you want. Stateable remembers your choice for next time.

  4. Optionally set a filename. Templates like {date}-commissions.csv are supported.

  5. Click Start Export. The progress banner at the top of the sheet shows row count, percentage, and elapsed time.

When the export finishes, the file downloads automatically and is logged in the Exports tab of the sheet for re-download later.

What counts as "Current View"

Current View respects every filter in place at the time you start the export. If the grid shows 12,482 rows, that's what you'll get. Column visibility and order in your grid also carry through.

Smallest files, opens everywhere. Best default.

JSON

One record per line. Best when another system or program is going to read the file, not a person.

Excel

.xlsx. Limited to 1,048,576 rows per sheet; Stateable warns you if your export would exceed this.

Cancel a running export

Every export has a Cancel button next to its progress banner. Cancelled exports don't produce a file and don't count against your history.

Troubleshooting

  • Export button is hidden. You don't have the Export Data permission. Ask an admin or see Manage teammate permissions and access.

  • Export contains fewer rows than expected. A filter group narrowed the grid before you started the export. Clear your filters, or set the field choice to All Fields.

  • Excel file won't open past 1.05M rows. That's the most rows Excel itself will hold. Re-run as CSV, or split the export into smaller date ranges.
