Stateable keeps access simple on purpose: five on/off switches per teammate, plus a separate setting for Stateable staff. This article puts everything on one page so you can decide what to give people without hopping between three other articles.
The five permissions
Every teammate gets a row of badges showing which permissions they hold:
Permission | What it unlocks |
Export Data | The Export button and the Exports sheet. Required for one-off and scheduled exports. |
Create & Edit Rules | The Basic Rules and Advanced Rules panels on the Data tab. |
Use Assistant | The AI assistant drawer. |
Manage Team | The Team page. Required to invite, disable, or adjust permissions for others. |
Organization Settings | Org-wide settings: external S3 export integrations, assistant provider configuration, and other admin features. |
What everyone can do without any switches turned on: view Documents, browse Data, and use the filter sidebar. Those come standard, and the permissions above add to them.
Common role shapes
You don't have to set each switch by hand for every person. Most teams settle on a few common setups:
Viewer — no toggles. Sees data, can't change anything.
Member — Export, Rules, Assistant. The default.
Admin — Member plus Manage Team. Owns the team list but not org-wide settings.
Owner — all five permissions. One or two people per org.

What about Stateable staff?
A few Stateable accounts have a separate system administrator setting that opens up behind-the-scenes pages and lets staff see across every organization. You can't turn this on from the Team page. Switching organizations
If you belong to more than one Stateable organization — say, your firm keeps a separate practice org for testing — switch between them from the avatar menu in the top-right. Each org has its own data, rules, exports, and teammates. See Switch between organizations.
Your own account
Separate from any organization, you have your own personal account: your name, email, password, and the sign-in methods you've connected (Google, Microsoft). See Update your profile, password, and login methods.
A note on keeping a record
Every action a teammate takes — uploading, deleting, creating a rule, exporting — is recorded under their name. Turning off a teammate's access doesn't erase that history. To review who can do what, sort the Team page's Permissions column and start from the people with the most access on down.
Key terms
Organization (org) — your own space in Stateable. Its data, rules, and members all belong to it and stay separate from other orgs.
Permission — one of the five switches (Export, Rules, Assistant, Manage Team, Org Settings).
System administrator — a Stateable-staff-only setting for behind-the-scenes access. You can't turn it on from the Team page.
Connected sign-in — a Google or Microsoft account linked to your Stateable account so you can log in with it.
Common questions
Can one person belong to multiple organizations?
Yes, one person can belong to multiple organizations. Switch between them from the avatar menu in the top-right. See Switch between organizations.
If I remove a teammate, does their history disappear?
No, removing a teammate does not erase what they did. Turning off a teammate's access keeps the record of their past actions; it only stops them from doing anything new.
Can I share one login across several people?
Don't share one login across several people. Every action is tied to the person who did it, so a shared login muddies the record of who did what and breaks our terms.
Is there an owner-only permission?
No, there's no owner-only permission. The "owner" setup isn't a built-in role — it's simply all five permissions turned on, by convention. Anyone with Manage Team + Organization Settings effectively has the same reach as an owner.
How do I reset my password?
