Upload your first commission statement to Stateable

Drop a PDF, Excel, or CSV into the Upload sheet and watch Stateable parse it into structured data.

Stateable parses carrier commission statements for you: your team can filter, tag, and export the data without retyping anything. This guide walks through your first upload.

Before you begin

You'll need a Stateable account and at least one commission statement to upload (PDF, Excel, or CSV).

How to upload a statement

  1. Click Upload in the top bar. An Upload Documents sheet slides out from the right side of the screen.

  2. Drag one or more statement files onto the drop zone, or click the drop zone to open a file picker. You can queue several files at once.

  3. Each file starts processing automatically. There is no separate "submit" button.

What happens after you drop the file

Every upload passes through three steps, shown as dots in the upload card:

  1. Analyzing — Stateable inspects the file and identifies which carrier and document type it is.

  2. Parsing — Stateable pulls the rows out of the document and lines them up into clean, consistent columns with the rest of your data.

  3. Done — rows are now available in the Data tab, and the file appears in the Documents tab.

Parsing finishes in under a minute for a typical 20-page PDF that was created on a computer. Statements with hundreds of pages, or pages that are really just scanned pictures, take 1–3 minutes. You can close the upload sheet and keep working — Stateable keeps going on its own behind the scenes, and the Currently parsing list is visible to everyone in your organization.

Supported file types

  • PDF — native, scanned, or a mix of both.

  • Excel.xlsx and .xls workbooks.

  • CSV — any carrier's format; Stateable works out the columns on its own.

Troubleshooting

  • The card shows "No Match" — Stateable doesn't yet recognize this carrier's layout. See Understand document statuses and what they mean for next steps.

  • The card shows "Duplicate" — a file with identical content was already processed. The earlier statement's data is still in place; no action is needed.

  • The upload sheet looks empty after a refresh — parsing keeps running behind the scenes. Check the Currently parsing section at the top of the sheet, which everyone in your org can see and which sticks around even after you reload the page.

Troubleshooting

  • My upload seems stuck at Parsing. Scanned PDFs are really just pictures, so Stateable has to read the text off them first, which can take 1–3 minutes per 10 pages. Wait 3 minutes. If it's still stuck, contact Support with the filename.

  • My file was rejected at upload. File is over the per-file size guideline (~100 MB) or in an unsupported format. Re-save as a smaller PDF or split into multiple files.

  • My document got a No Match status. Stateable doesn't yet recognize this carrier layout. Forward the file to [email protected] so we can teach the system.
